We’re looking for an HR Advisor to join our team, to support the business in all its people related activities. The HR team aims to act as a role model of a high performing team and provide a meticulous level of service to the business.  This is a highly administrative role with a lot of scope to grow with the business, a really exciting opportunity and a great time to be joining the Secondmind journey.

Main Purpose of the role:

Support the HR Director in providing a full scope of HR service to the organisation. To ensure provision of commercially astute best practice HR advice, support and direction. This includes working as part of the HR Team to develop and deliver the HR strategy,  policies and partnering the business in the cascade and achievement of overall business objectives and company values.  

General Administrative Duties:

  • First point of contact in HR, answer any questions and provide guidance regarding HR policies
  • Organise inductions and on-boarding arrangements for new starters
  • Manage employee benefit memberships with Brokers (Mattioli Woods)
  • Prepare employment contracts for employees, placement students and consultants
  • Update and maintain HR Database (BreatheHR) and hard copy employee records (where applicable)
  • Update and maintain Employee Information Portal (internal resources)
  • Leaver’s administration and exit interviews
  • Produce reports and data for management, benefits renewals etc
  • Carry out Right to Work checks, and maintain records in compliance with Home Office regulations
  • Assist the HR Director with the facilitation of Immigration and Visa applications with external immigration Lawyer
  • Organise training sessions and events
  • Work closely with Technical Recruiter and Hiring Managers to ensure robust selection and recruitment process is followed using ATS system (Greenhouse) and recruitment administration
  • Preparation of monthly payroll input, working with Finance team and outsourced payroll provider (Price Bailey) and reviewing final payroll reports
  • Managing Payroll portal (MyEpayWindow)
  • Monitor, review and revise all company procedures, along with the HR Director
  • Train managers on HR policies and implementation (face to face and over Zoom)
  • Any other relevant HR related tasks that may be required from time-to-time

Advisor Duties and Employee Relations:

  • Proactively establish and maintain successful working relationships within Secondmind
  • To provide up to date UK Employment Law advice to line managers
  • Support HR Director and Leadership team in the retention and motivation of staff
  • Support HR Director with:
    • Providing advice and guidance on employee relations (ER) issues
    • Note-taking during complex meetings
    • Proactively managing ER relations issues specifically absence, wellbeing and performance management
    • Managing grievance and disciplinary processes, where required
    • The completion of change programs including consultation and confirmation of changes
    • Reviewing and communicating HR Strategies, policies and practices to meet the business needs with regard to appropriate legislation and best practice
    • Ad Hoc projects

 Skills, Knowledge and Experience:

  • CIPD part qualified (level 3 minimum)
  • Employment Law knowledge and the ability to translate this into commercially astute HR Advice
  • Experience of dealing with a high volume administrative workload
  • Experience of managing HR Projects
  • Experience  of  training  managers  on  policy/procedure  usage  and implementation, face to face and over zoom sessions (desirable)
  • Knowledge of employment record keeping processes and procedures and basic employment legislation including GDPR requirements,
  • Ability to follow processes, & develop them to improve efficiency
  • High level of accuracy and attention to detail
  • Experienced user of Google Drive, Microsoft Office, and HR database(s)
  • Effective written and verbal communication skills
  • Tact, diplomacy and confidentiality
  • Ability to work at speed whilst maintaining a high level of accuracy on a large volume of administrative tasks
  • Payroll administration processing
  • Proactive and able to use initiative
  • Excellent organisational skills
  • Happy to own and take responsibility for processes
  • Professional integrity and emotional maturity
